Hotel and B2B laundry contracts: billing that does not leak

A hotel contract can double a laundry’s volume. It can also bury the owner in receipts, disputed rates and a receivable nobody is chasing. The difference is how the account is billed.

Why counter billing breaks on contract work

A hotel account does not look like a walk-in customer. Guest valet arrives on overnight cycles, housekeeping sends linen daily, staff uniforms come in batches, and the gym sends towels. Pricing is agreed in a contract, not read off the counter price list, and nobody at the hotel pays at pickup — finance pays a month later against an invoice it can reconcile.

Run that through a counter POS and three things leak. Staff charge the walk-in price instead of the contract rate. Receipts pile up that the hotel will not accept as a tax invoice. And the unpaid balance lives in a notebook, so nobody notices when an account slips from 30 days to 90.

Rate cards and credit terms per account

The fix starts with giving each account its own rate card, separate from the counter price list, so the price is right no matter who takes the order. Orders are then booked on credit against that account with its agreed terms — net 15, net 30 — and the outstanding balance ages visibly, the same way it would in an accounting system.

Scheduled pickups belong on the same account. When the hotel’s collection is a recurring run rather than a phone call, the driver’s route, the tickets and the billing all tie back to one customer record.

One consolidated tax invoice a month

At month end, every ticket the account generated should roll up into a single full tax invoice with an itemised statement listing each order line. Under UAE VAT, a full tax invoice to a VAT-registered business carries both parties’ TRNs, sequential numbering and VAT per line in AED; corrections go through credit notes that reference the original invoice rather than edits.

That is the document a hotel finance team expects, and it is how B2B and hotel accounts work in Presso: per-client rate cards, credit terms with aging, and one consolidated monthly invoice per account. It also leaves you ready for UAE e-invoicing, where structured, correctly numbered B2B invoices stop being good practice and become a requirement — see our e-invoicing readiness guide.

Frequently asked questions

How should a laundry invoice a hotel in the UAE?

Book each order on credit at the hotel’s contract rates during the month, then issue one full tax invoice at month end with both TRNs, sequential numbering and VAT per line, attached to a statement listing every order. Use credit notes referencing the original invoice for any corrections.

Can a small laundry take on hotel contracts?

Yes, if billing and capacity are planned first. The operational risk is usually not the washing but the receivable: agree payment terms in writing, track aging monthly, and make sure your invoices match what the hotel’s accounts-payable process can approve.
